I. PURPOSE OF THE ROLE
• Reporting to and working with the IMEX Lead, the Export Coordinator will work closely with customers, clients, and relevant internal departments.
• The Export Coordinator is responsible for liaising between customers, liners/forwarders, transport companies, TechOps and internal departments to ensure an efficient operational service is provided.
II. ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Manage the export process from start to finish.
2. Ability to effectively interact at all levels and cross functionally both internally and externally. Customer focused, collaborative, seeking solutions to problems. Proactive, creative, and entrepreneurial in approach.
3. Liaise with customers to obtain information to ensure correct measures are in place and all customer needs are met, including Sales contract, shipping docs, packing method….
4. Liaise between Customers, liners/forwarders, and TechOps to obtain up to date shipment information.
5. Liaise with VN Customs, Drug Administration, Ministry of Health…. ensuring all documents are sent/received within the designated time frame and correct with their requirements.
6. Ensure customers are fully informed of the progress of their shipments.
7. Provide transport companies with the relevant information to ensure customer delivery requirements are met.
8. Have knowledge to make full set of shipping docs (Commercial Invoice, Packing list, B/L or AWB, Insurance Cert, C/O registration with VCCI ….).
9. Have knowledge of International Contract terms (Incoterms 2020) and payments (T.TR, LC, DA/DP…).
10. Ensure correct documentation is on file and act accordingly as set out in the instructions.
11. Any other duties as required by management for the smooth and efficient operations of the department.
III. QUALIFICATIONS & EXPERIENCE:
• Graduated from College or University in related fields: Import-Export, Foreign Trade, Economics….
• Have minimum three years’ experience working in Export sections/logistics at manufacturing companies ideally in the FMCG and\or pharmaceutical sectors is a plus.
• Be a confident, organized team player.
• Have a strong customer-service background.
• Have ability to use English fluently, Ielts 6.5 or Toeic 700 is an advantage.
• Be a proficient computer user including the full Microsoft Office package.
• Be able to work in a pressurized environment, effectively prioritizing workload.
